#Pads4Paps Terms & Conditions
1. Purpose and Scope
These Terms & Conditions apply specifically to participation in the #Pads4Paps campaign, including campaign bookings, the Campaign Participation Contribution, donations, sponsorships, cancellations, rescheduling and refund requests.
They apply alongside the general 4FR Health policies. Where a general cancellation or payment policy differs from these campaign-specific terms, these terms govern the #Pads4Paps campaign contribution, subject always to applicable South African law and any consumer right that cannot lawfully be excluded.
2. The Campaign and the Organisations Involved
#Pads4Paps is a social-health initiative of 4FR Health and 4FR Help NPC. 4FR Health coordinates the clinical and operational aspects of the campaign, while campaign participation contributions, donations and sponsorship funds are received for the campaign through 4FR Help NPC, a non-profit company.
Campaign funds are paid into or processed for the non-profit company and are used to advance the charitable and social-health purposes of #Pads4Paps. Funds may be allocated to campaign expenses, laboratory or screening costs, consumables, beneficiary support, sponsorship of another participant, menstrual-dignity initiatives or other directly related campaign purposes.
3. Types of Payments
For purposes of these Terms, campaign payments fall into three categories:
- Campaign Participation Contribution: the R350 amount paid by a woman to secure her own participation in the 2026 campaign.
- Donation: a voluntary contribution made to support #Pads4Paps without securing a personal campaign appointment.
- Sponsorship: a voluntary contribution intended to help another woman participate in, or benefit from, the campaign.
4. Campaign Participation Contribution
The R350 Campaign Participation Contribution is not a professional consultation fee paid to the volunteer doctor. Participating doctors donate their professional time to the campaign.
The contribution helps make the wider campaign possible and may be allocated from the time payment is received. Payment does not mean that the exact funds paid by an individual participant are held separately or reserved exclusively for that participant's eventual consultation.
A selected appointment is only secured once payment has been successfully completed and verified through the campaign's payment process.
5. Donations and Sponsorships
Because campaign funds may be allocated to a beneficiary, campaign expense or charitable purpose almost immediately after receipt, a voluntary donation or sponsorship cannot later be withdrawn, reclaimed or redirected at the donor's request.
A sponsorship does not create a personal appointment entitlement for the sponsor. Unless the campaign has expressly confirmed otherwise in writing, sponsored funds may be pooled and applied where the need is greatest within #Pads4Paps.
This clause does not prevent the correction of a proven payment-processing error, unauthorised transaction or any refund that is required by applicable law.
6. Cancellation and Conversion to Donation
A participant may cancel her appointment. Cancellation releases the appointment slot so that it can be offered to another woman.
By default, a paid R350 Campaign Participation Contribution is non-refundable on cancellation and is converted into a donation to #Pads4Paps. Once converted, it falls under the Donations and Sponsorships provisions in section 5 above.
The converted contribution may be used to sponsor or support another woman who may otherwise have been unable to participate, or for another directly related #Pads4Paps campaign purpose.
Ordinary changes of mind, work commitments, transport difficulties, forgetting the appointment, double-booking, personal scheduling conflicts or deciding not to attend do not ordinarily qualify for a refund.
7. Exceptional Refunds
A refund of the R350 Campaign Participation Contribution is only available or considered in narrowly defined exceptional circumstances.
A written request must be emailed to pads4paps@4fr.co.za and must include reasonable supporting information or documentation showing that the participant was unable to honour the appointment because of:
- Death of the participant or booked beneficiary;
- Hospitalisation of the participant or booked beneficiary;
- a genuine medical emergency; or
- illness supported by an appropriate medical certificate or sick note.
Death and hospitalisation cases will be handled in accordance with applicable consumer law. Other documented emergency or illness requests will be assessed reasonably and individually.
Only the Campaign Participation Contribution is eligible for consideration under this clause. Any separate voluntary donation or sponsorship made at the same time remains non-refundable once received and allocated, except where the law requires otherwise.
Where a refund is due, the campaign may require sufficient information to identify the original payment and may refund only to the original payment method or verified payer where reasonably possible.
8. Rescheduling
Where campaign capacity permits, one reschedule may be allowed without additional campaign charge, particularly where menstrual-cycle timing makes the booked appointment clinically unsuitable.
Rescheduling must be arranged through the #Pads4Paps team and is subject to remaining campaign capacity, participating doctor availability and the campaign period. A reschedule is not guaranteed and does not create a right to an appointment outside the campaign period.
Failure to attend a rescheduled appointment will ordinarily close the booking and cause the Campaign Participation Contribution to be converted into a donation.
9. No-Shows
Failure to attend a confirmed appointment without a qualifying documented circumstance does not ordinarily qualify for a refund. The R350 Campaign Participation Contribution will be converted into a donation to #Pads4Paps and the appointment will be closed.
A participant who missed an appointment because of a circumstance listed in section 7 may still submit the required written request and supporting documentation.
10. If #Pads4Paps Cannot Honour the Appointment
If #Pads4Paps or 4FR Health cancels a confirmed campaign appointment and cannot reasonably offer a suitable replacement within the campaign, the participant may choose either:
- a refund of the R350 Campaign Participation Contribution; or
- to leave the contribution with 4FR Help NPC as a donation to #Pads4Paps.
Any separate donation or sponsorship remains governed by section 5.
11. Clinical Scope and Volunteer Doctors
Participation in #Pads4Paps does not guarantee a particular diagnosis, investigation, procedure, prescription, referral or clinical outcome. Care is individual and remains subject to the attending healthcare professional's clinical judgement and the services available during the campaign appointment.
Where further investigations, treatment, laboratory work or follow-up care falls outside the advertised campaign offering, additional costs may apply and will be explained where reasonably possible.
Volunteer doctors are not paid the R350 Campaign Participation Contribution as a consultation fee.
12. Booking, Payment and Acceptance
By completing a #Pads4Paps booking and payment, making a donation, or making a sponsorship, the payer confirms that she or he has had a reasonable opportunity to review these Terms & Conditions and accepts the provisions that apply to that payment.
The campaign may use secure third-party payment providers. 4FR Help NPC and 4FR Health do not require campaign participants to disclose card PINs or online-banking passwords to campaign staff.
13. Privacy and Records
Personal and health information is handled in accordance with applicable privacy law and the 4FR Health Privacy Policy. Information supplied for a refund request will be used only where reasonably necessary to assess, document and administer that request.
14. Consumer Rights and Interpretation
Nothing in these Terms is intended to waive, restrict or exclude a consumer right that cannot lawfully be waived, restricted or excluded. Where applicable law requires a different outcome from a provision in these Terms, the law will prevail to that extent.
The campaign will apply cancellation and refund provisions reasonably, taking account of the nature of the campaign, the circumstances of the cancellation, available notice, the opportunity to allocate the appointment to another participant and the fact that campaign funds may already have been committed to charitable or campaign purposes.
