WhatsApp Communication Policy
1. Purpose
This policy outlines how WhatsApp communication may be used when interacting with 4FR Health. The goal is to protect patient confidentiality, maintain professional boundaries, and ensure that medical consultations occur within appropriate clinical and legal frameworks.
2. General Principle
While WhatsApp is a convenient communication tool, it is not designed as a secure clinical consultation platform. The Health Professions Council of South Africa (HPCSA) advises caution when using social messaging platforms for healthcare interactions due to privacy risks, documentation limitations, and the difficulty of maintaining clear professional boundaries.
For this reason, WhatsApp communication with 4FR Health is primarily limited to administrative or coordination purposes.
3. Permitted Uses of WhatsApp
Patients may use WhatsApp for limited non-clinical communication, including:
- Appointment scheduling or confirmations.
- Administrative enquiries.
- Receiving practice announcements or reminders.
- Coordination of follow-up arrangements where appropriate.
4. WhatsApp Is Not Used for Medical Consultations
4FR Health does not conduct full medical consultations via WhatsApp messaging.
Diagnosis, treatment advice, prescriptions, and clinical decision-making require a formal consultation in person or through an approved telehealth consultation platform where appropriate documentation and medical records can be maintained.
5. Confidentiality and POPIA
Patient confidentiality is a core ethical obligation of healthcare practice.
Any personal information shared via WhatsApp is still subject to the Protection of Personal Information Act (POPIA). Patients should avoid sending sensitive medical information via WhatsApp unless specifically requested by the practice for administrative purposes.
6. Personal vs Practice Numbers
To maintain appropriate professional boundaries, patients are encouraged to communicate with the practice through the official 4FR Health contact channels rather than personal numbers of practitioners.
Practitioners may not respond to medical enquiries sent to their personal numbers via WhatsApp.
7. Record Keeping
Where clinically relevant information is received through digital communication channels, it may be recorded in the patient's official medical record to ensure continuity of care.
8. Recommended Contact Methods
For medical consultations or clinical advice, patients should use the following channels:
- Book a consultation online via the practice website.
- Contact the practice telephonically during operating hours.
- Attend the practice for in-person care when appropriate.
